Responsibilities

  • Support the management of purchasing activities in accordance with IOM's procurement rules, procedures, and policies, from receiving and verifying requisitions (PR) to issuing purchase orders (PO) and tracking required approvals.
  • Support the management of vendor relations and contract administration, including preparing contracts, coordinating necessary validations, tracking their execution, and archiving related documentation.
  • Support the coordination of the receipt of goods and services and the issuance of goods receipt and service receiving notes (GRN and SRN), as well as the processing of payments (IST), ensuring the compliance of deliveries, invoices, and supporting documents before transmitting them for payment.
  • Provide logistical support to the mission's operations, including for deliveries, main and sub-office activities, and any other activities requiring logistical support.
  • Support the procurement team in conducting market studies and analyses, tracking prices, preparing required reports, and contributing to the financial analysis of major purchases and contracts.
  • Support the procurement team in maintaining an effective system for managing stocks, assets (maintenance of buildings and vehicles), and logistics and procurement files, ensuring the accuracy of inventories and the optimal use of the Organization's resources.
  • Ensure compliance with IOM's internal procedures and perform any other related tasks assigned by supervisors to contribute to the achievement of the mission's objectives.

Qualifications

  • University degree in logistics, administration, and finance, or a similar field with 2 years of experience in the domain; or
  • Diploma from a high school in the above-mentioned fields with 4 years of relevant professional experience.

Experience

  • Experience working in the logistics, administration, or finance domain with a UN agency or international organization is an asset.
  • Strong interpersonal and intercultural skills with a proven ability to work effectively and harmoniously in a team.
  • Ability to work autonomously under pressure, maintaining precision, paying attention to detail, meeting deadlines, and working with minimal supervision.
  • Flexibility and strong commitment to working in challenging conditions related to the implementation of multiple emergency engagements.

Skills

  • Experience using the Oracle/Wave accounting system is an asset.
  • Excellent computer skills with proficiency in MS Office (Word, PowerPoint, Excel, Outlook).

Languages

The official languages of IOM are English, French, and Spanish.

Required:

Excellent proficiency in French (spoken and written).

Desirable:

Good proficiency in English (spoken and written) would be an asset.

The proficiency of the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
